Internal digital asset and image finder

A search agent that helps internal teams quickly locate original high-resolution marketing assets across shared drives and platforms.

Designed for marketing, sales, and customer service teams at an industrial equipment business who regularly receive informal requests to track down original source files from cropped screenshots or vague descriptions.

Unlike standard keyword-based folder searches, this solution explores natural-language queries and visual metadata lookups across existing Microsoft 365 environments without requiring specialized external asset management subscriptions.

The problem

Marketing staff spend significant time manually hunting down original, high-resolution images stored across network drives, Microsoft Teams, and emails after colleagues send screenshots. These repetitive asset requests pull team members away from core creative and campaign work. Without a unified indexing method, cross-departmental users struggle to locate current product and project photography on their own.

The solution

A proof of concept was designed using Copilot Studio, SharePoint, and Power Automate to query folder paths, metadata, and product tags using plain language requests. The plan focused on leveraging existing Microsoft 365 infrastructure and file libraries before introducing custom image-recognition services. Image search workflows were tailored to recognize product lines, campaign tags, and regional file structures directly.

The goal

Enable employees to rapidly find original high-resolution images using natural-language descriptions or uploaded screenshots.
