Rental asset compliance and certification tracker

A centralized compliance tracking system linking equipment inspection certificates and renewal deadlines directly to asset records.

Built for rental operations, service workshop crews, and branch managers at an industrial equipment business who oversee fleets of certified machinery.

Unlike fragmented spreadsheets and shared network folders that lose context as rental assets travel between branches, this solution anchors inspection histories and renewal timelines directly to individual equipment profiles.

The problem

Inspection certificates, pressure vessel records, and compliance registers were scattered across local folders, PDFs, and manual spreadsheets. Because equipment frequently moves between depots and work sites, operations teams lacked reliable alerts for approaching expiration dates. This created operational blind spots and increased the risk of deploying non-compliant rental machinery.

The solution

The project design established asset records as the single source of truth for all associated certification and inspection files. Key validity windows and inspection schedules are tied directly to equipment profiles with automated alerts for upcoming renewals. Operational dashboards were configured to give branch leads and compliance staff immediate visibility over active, expiring, and overdue certifications.

The goal

Centralize all rental asset compliance documents and expiration dates within primary asset records to prevent out-of-compliance equipment dispatches.
