Rather than requiring users to manually search fragmented folder structures, the system grounds a conversational AI agent directly in verified SharePoint document libraries to return referenced answers instantly.
The problem
Product development records, operational reports, and technical insights were distributed across disconnected repositories, making data retrieval time-consuming and inconsistent. Engineers and operations staff spent significant manual effort locating relevant research files to inform daily decisions. This friction slowed project reviews and limited visibility into past research findings.
The solution
A conversational assistant was configured in Microsoft Copilot Studio and connected directly to central SharePoint engineering libraries. Access controls and diagnostic pathways were established to ensure secure document indexing and appropriate permission scoping across departments. The agent provides conversational retrieval, enabling staff to query complex technical archives using natural language.
